PROVIDES SUPERVISION TO: Registered Dental Hygienists, Dental Assistants, Patient Care Coordinator, Front Desk Coordinator 

FLSA CLASSIFICATION: Exempt

    POSITION SUMMARY: 

    The Practice Manager is responsible for the day-to-day operation and staffing of Cass County Dental Clinic.   

    HOURS & LOCATION: 

    The Practice Manager works full-time 5 days per week for a total of 40 hours. The primary office is located within the Belton clinic; however, the Practice Manager works a minimum of one day per week at the Harrisonville clinic.  

    DUTIES & RESPONSIBILITIES 

    • The Practice Manager responsibilities include, but are not limited to: 
    • Provides Cass County Dental Clinic leadership  
    • Ensures that all team members are adequately trained in their primary role and ensures cross training has been done so that workflows can be maintained in the absence of Dental Clinic staff 
    • Coordinates fee collection for efficiencies in the revenue cycle and understands how to utilize reports 
    • Hires and orients staff and completes performance evaluations   
    • Coordinates scheduling of clinic employees to ensure appropriate staffing 
    • Manages supplies, contracted services, and equipment for clinic within a predetermined budget 
    • Arranges building maintenance and equipment repairs  
    • Advises on the purchase of annual equipment and supplies inventories 
    • Resolves any specific patient complaints and mediates any conflict between team members, if necessary 
    • Processes and submits accounts payable vouchers twice each month 
    • Coordinates weekly staff meetings and activities within the Dental Clinic for staff 
    • Assists with reports as required by the Coalition, Board and Funders 
    • Processes bi-weekly payroll 
    • Any other duties as delegated by the Director of Dental Programs 

    QUALIFICATIONS: 

    • Knowledge of practice management and fiscal accountability 
    • Knowledge of Risk Management and Compliance 
    • Familiar with Quality Assurance and must know how to implement quality measures 
    • Must possess strong communication, interpersonal, organization, problem-solving, writing and project management skills. Must be dependable, detail oriented, accurate, and have the ability to manage multiple priorities.   
    • Must possess computer skills with working knowledge of Excel and Microsoft Office Suite including Electronic Medical Records 
    • Must possess excellent written and verbal communication skills 
    • Must be able to relate with patients and other health care personnel 
    • Should understand social and cultural sensitivity appropriate to ethnically and economically diverse patient-and employee-base 
    • Willingness to educate patients and the community about oral health and the role of our safety net dental clinic  
    • Commitment to expanding access to dental care for the underserved in Cass County and the surrounding areas 

    EDUCATION & EXPERIENCE: 

    • Minimum of a Bachelor’s degree in business administration, non-profit management or health care and 3 years of clinical operations or management experience preferred 
    • Experience in a community health or dental setting is preferred  
    • Experience with Patterson dental software is preferred

    • convey empathy and avoid making accusations or passing judgment during communication while tactfully holding others accountable for their oral health status or actions   
    • explain and enforce clinic policies and rationale  
    • maintain clear, concise, and accurate records of all communications and attempts to communicate with patients and employees  
    • perform computer functions, navigate software, monitor and respond to emails & text messages 
    • respond quickly to verbal instructions, feedback, and questions in a noisy, fast-paced work environment, both in-person and over the phone  

    Mobility & Touch: manual dexterity and physical agility necessary to perform duties  

    • manual dexterity sufficient for typing and use of a mouse to efficiently navigate computer applications and enter accurate clinical and personnel notes 
    • sitting at the computer for extended periods 

    Visual Ability: required to read and understand written documentation both in paper and electronic formats  

    • read and comprehend text, numbers, and charts displayed in print or on a monitor  
    • observe body language and nonverbal cues
